The Non-Bank Financial Institutions Regulatory Authority (NBFIRA) invites suitably qualified individuals to apply for the following vacancy:

 

Senior Personal Assistant to the Chief Executive Officer

 

Main Purpose of the job

Provide executive secretarial and administrative services to the CEO

Key responsibilities

Manage the flow of information to the CEO through the following tasks:

  • Receive telephone calls and correspondences
  • Screen phone calls
  • Summarise any reports and memos received before passing them onward

Manage the CEO’s Office

  • Manage and maintain office supply inventory and replenishments
  • Manage and maintain the calendar of the CEO
  • Prepare and format information for internal and external distribution
  • Create computerised presentations where required

Meetings management of the CEO

  • Attend to visitors/clients, advise staff and any outsiders of any meetings.
  • Issue meeting reminders and confirm attendance prior to the meeting
  • Ensure relevant documents are circulated to all attendees prior to meetings
  • Make logistic arrangements for meetings
  • Take minutes, draft and circulate minutes after vetting.
  • Filing and records management
  • Provide other administrative and clerical assistance as required.

Qualifications and Experience

  • At least a Degree in Business Administration or related field from a recognised institution
  • At least 6-7 years post-qualification experience in a secretarial/administration environment, of which 3-4 years should have been as Personal Assistant to a top leadership position
